A large Indian conglomerate consolidates the generation and management of its e-Invoices across multiple business sectors with Maventic

About Client

The client is a leading Indian conglomerate with interests spanning Real Estate, Power Transmission and Distribution, Civil Infrastructure, and Logistics.

Business Scenario

e-Invoice is a system in which B2B invoices are authenticated electronically by GSTN for further use on the common GST portal. Under the electronic invoicing system, an identification number will be issued against every invoice by the Invoice Registration Portal (IRP) to be managed by the GST Network (GSTN).
Before partnering with Maventic, the client relied on manual processes to generate e-Invoices.

Challenges

Owing to the large scale of operations across multiple business sectors daily, the manual processes involved in the generation of e-invoices resulted in the following challenges:

  • Prohibitively expensive to keep a large team dedicated to handling these manual business processes.
  • Decreased productivity due to lack of automation.
  • Significantly prone to human errors owing to manual processes.

Solution

Having understood the problem and resulting challenges, the client set out to identify a suitable e-Invoicing partner who could automate the entire process across its diverse portfolio. This exercise proved challenging since most of the solutions available were less effective in handling a task of this complexity.

After evaluating a few SAP e-Invoice partners, they selected Maventic’s product called mavenTax, built within SAP, to integrate its SAP ERP with the Invoice Registration Portal (IRP) in real-time. The built-in functionalities of mavenTax enabled the client to generate and modify e-Invoices easily from their SAP system without requiring manual interventions, thus providing easy GST reconciliations later.

The architecture used here involved the integration of the IRP with the SAP ERP using SAP PI/PO.

To cater to the client’s diverse business portfolio, Maventic customized the mavenTax platform to handle all the e-Invoicing processes in one cockpit.

Benefits

With the mavenTax e-Invoicing solution and the single customized cockpit, the client could:

  • View all the e-Invoicing processes across multiple sectors in one platform for better ease of use.
  • Provide multiple-level authorizations to users depending on the business requirements.
  • Automate updation and cancellations of e-invoices directly from SAP.
  • Obtain QR codes upon the generation of e-Invoices and print them directly on the invoice copies.
