A leading middle eastern petroleum company automates its supplier qualification process using SAP Ariba extensions with Maventic

About Client:

The client is a subsidiary of a petroleum company set up by a middle eastern government body to manage refinery, petrochemicals and LNG import operations.

Business Scenario:

Before partnering with Maventic, the client needed to manually intervene to initiate its supplier qualification process, taking into account whether an extensive list of conditions was met by potential suppliers as per the government’s rules and regulations.
The client was looking for niche customizations in SAP Ariba that would enable the supplier qualification process to be initiated at the supplier end to cut down on the processing time.

Challenges:

The client’s business processes needed major customizations and integrations with SAP, which could not be done directly on SAP Ariba.

Solution:

After evaluating a few SAP technology partners, they selected Maventic’s proposal to customize this functionality on SAP BTP, and expose the API to SAP Ariba.

The new SAP Ariba scenarios developed by Maventic were:

  • The comparison of bids across suppliers.
  • Automatic addition of suppliers after the creation of sourcing projects.
  • Automatic updation of custom sourcing project headers after the creation of scenarios to simplify the workflow approval process.
  • Attachment flow from supplier response to S/4HANA.
  • Single screen visibility into complex custom workflows and reports.
  • Collection of documents from an awarded supplier and advance notifications to supplier and buyer for bid bond or bank guarantee expiry.
  • Publish public tender posting on the customer’s website linked to Ariba Discovery.
  • Publish tender results on the customer’s website.

The services utilized for this project were SAP CAP Java and SAPUI5.

With these customized SAP Ariba extensions, the client is now able to:

  • Streamline processes between S/4HANA and Ariba due to a significant reduction in manual interventions.
  • Have a single-screen view that promotes ease of usage of the platform.
  • Perform better decision-making as the alerts and collated data set-up helps in effective negotiation and direct savings in procurement.
